Timeline Creation

Discuss, build, and manage Timeline with Clients

Conduct telephone calls with Vendors and Venue to discuss Timeline and follow up with last minute details

Review contracts and coordinate details with all Vendors and Venue

Review and confirm Banquet Event Orders (BEOs) provided by Venue

Distribute Final Timeline to all Vendors, Venue, and Bride and Groom one week prior to the Wedding Day

One final Venue walkthrough with Bride, Groom, Bride and Groom’s families, and Venue Coordinator

This final walkthrough will act as a “Rehearsal” as we will review and walk the path of the final timeline and discuss any last minute details / changes to the BEOs and Timeline


The Fairytale Day

Manage setup and breakdown of the event

Manage guest arrival at Wedding and Reception

Ensure Vendors understand their responsibilities and are aware of the flow of the ceremony

Distribute personal flowers to ensure that bouquets, boutonnieres, and Flower Girl baskets are given to their respective wedding party members

Ensure that all wedding party guests involved in Ceremony are present and cued in time for their procession down the aisle

Coordinate “Must Take” Photo List with Photographers

Direct guests & answer questions that may arise during seating

Address and manage all conflicts and last minute changes throughout the event

Supervise and direct execution of event design templates to ensure proper placement of décor items

Coordinate with DJ / Emcee to ensure the seamless flow of the Reception program

Ensure all Vendor commitments are fulfilled according to their contracts

Oversee and facilitate distribution of final payments and gratuities to Vendors 

Provide 1 Lead Coordinator and a team of Assistant Coordinators on the day of the events to execute coordination
